The social media page must contain the following information in the general information section of the social media page:

  • "If you are looking for more information about Polk County, please visit www.co.polk.or.us.”
  • Site goals, target audience, and associated information.
  • The following disclaimer:
    • “Polk County makes no warranty or guarantee concerning the accuracy or reliability of any information available on this site or any site linked to this site.  Links or references to other information or organizations do not constitute an endorsement.  Social media sites are NOT a tool for sharing or exchanging personal and confidential information.  You are solely responsible for the material you post on the Polk County Facebook page.  Polk County shall have no responsibility to you or any third party for any material you post, and Polk County accepts no responsibility for such.”
  • Site Contents:
    • “Polk County at its own discretion reserves the right to delete submissions or comments that contain any   of the following:
      • Comments not topically related to the particular article or subject in the originating post.
      • vulgar language;
      • personal attacks of any kind;
      • spam or include links to other sites;
      • advocacy for illegal activity; or the promote particular services, products or political organizations;
      • infringe on copyrights or trademarks;
      • information that may tend to compromise the safety or security of the public or public systems;
      • violates a legal ownership interest of any other party;
      • identify personal medical information or other confidential or protected information;
  • Site Compliance: Any obtained images must be in compliance with the source license agreements and be in compliance with any copyright restrictions. Any license information will be managed by the responsible department.
  • Images: Any images of people must be in compliance with source license agreements or have the appropriate photo releases signed as included in this document. Releases will be managed by the responsible department.
  • Communication: All social media communication messages composed, sent, or received on the County IT equipment are the property of Polk County and the authorized department managing the site.  The content of each Polk County social medial site shall be owned by and the sole responsibility of the department producing and using the social media.  Polk County IT will maintain joint administration of the site.
  • Records Retention:  Polk County retention schedules apply to social networking content.  Social media will not be used to store original digital documents, but will be used to distribute copies of original documents.  Records required to be maintained pursuant to a relevant records retention schedule shall be maintained for the required retention period in a format that preserves the integrity of the original record and is easily accessible using the approved County platforms and tools. 
  • Privacy and Security: Social media is not a secure means of communication.  The County has the right to monitor employees' social media use on County equipment and will exercise its right as necessary.  All content added to a site can and will be subject to inspection by the County and the Public.
