Hours of Operation

Welcome to the Polk County Sheriff's Office Records Division. Our office hours are Monday through Friday between 8:00 am and 5:00 pm, closed over the lunch hour from 12:00 to 1:00 pm. If you are calling in a complaint, make sure you are calling the correct agency to save yourself some time. The agency you need to contact will have jurisdiction where the incident actually occurred. You may contact the Records Division by email at sheriff.records@co.polk.or.us , or at (503) 623-9251 (Select option 5 on the call tree for the Sheriff's Office then select option 8 for Records).

We handle calls outside the city limits of Dallas, Independence, and Monmouth. We also patrol Falls City, Grand Ronde, and dog-related complaints within the city limits of West Salem. If you are having an emergency, please call 911.

Fingerprinting

The records division also does fingerprinting for the general public.  The hours for fingerprinting are Monday or Friday from 8:00 am until 11:30 am and Wednesday from 1:00 pm to 4:30 pm.   The cost for this service is $25.00 for up to 2 fingerprint cards.  You must provide current valid identification such as your driver's license.

Reports & Records Checks

Requests for reports and/or records checks require payment to be made up front.  We will not accept nor respond to faxed or e-mailed requests.  Since the Polk County Jail houses individuals that have been arrested inside of Polk County, multiple law enforcement agencies utilize our facility.  Each agency takes care of their own reports so even though somebody was in our jail, you still have to go to the appropriate agency for a copy of the report; the same is true for records checks.  A records check will only provide you with that particular agency's information.  If you are wanting to obtain somebody's criminal history statewide you must do that through the Oregon State Police.

Copies of Reports

Copies of reports are $8.00 for the first 10 pages and $1.00 per page after that.  If photos are available you may obtain them for $25.00 which includes a CD.  To obtain copies you must fill out a release of information form with as much information as possible to help us locate the requested information for you.  If you do not have the case number, we charge a research fee of $10.00 per name or address which includes a copy of 1 report up to 10 pages.  If there was an arrest then we will not release the report until it has been adjudicated or gone through the court system.  We do not release other agency reports nor do we release juvenile reports; requests for those must be done through those agencies involved.  Requests are processed as time allows and are usually done once per week.  Personal information in the report will be redacted or blackened out unless the request is from an attorney.

Towed Vehicles

If your vehicle was towed per the request of the Sheriff's Office we require the following to obtain a release:

1) $75.00 Cash Only
2) Proof of ownership
3) Proof of current insurance on the vehicle that was towed
4) A valid driver's license or somebody with a valid driver's license

Most payments can be made with cash, checks & money orders. We will also gladly accept VISA, MasterCard and debit cards with the VISA emblem, but NOT over the phone.
